Free Receipt Maker Online: What to Look For

Every week I get emails from people asking the same thing: "Is there a free way to make receipts online?" The answer is yes — but with some important caveats that most "free receipt maker" sites won't tell you upfront.

I've tested a bunch of them. Some are genuinely useful. Some are ad-infested nightmares that try to charge you $9.99 right when you click download. And a few are actually sketchy — they store everything you type and have privacy policies that would make a data broker blush.

Here's an honest look at what's out there and what to consider.

What Is a Receipt Maker?

A receipt maker (also called a receipt generator or receipt builder) is an online tool that lets you:

  • Choose a receipt template or layout
  • Fill in the details (store name, items, prices, etc.)
  • Download the result as a PDF or image

    • That's it. No software to install, no design skills needed. Fill in the blanks, get a receipt.

    What to Look for in a Receipt Maker

    Template Quality

    The whole point is to create a receipt that looks professional. If the template looks like it was designed in Microsoft Paint in 2003, it defeats the purpose. Look for:

  • Clean, realistic formatting
  • Multiple layout options (thermal, standard, A4)
  • Proper monospace fonts for thermal receipts
  • Accurate spacing and alignment

    • Customization

    At minimum, you should be able to customize:

  • Business name and contact info
  • Date and time
  • Individual line items (name, quantity, price)
  • Tax rate and amount
  • Payment method
  • Footer message

    • Better tools also let you customize fonts, add logos, change colors, and adjust paper sizes.

    Privacy

    This is the big one. You're typing business names, addresses, amounts, and potentially customer information into a web form. Where does that data go?

    Questions to ask:

  • Does the site store what you type?
  • Can they see your generated receipts?
  • Do they share data with third parties?
  • Is the connection encrypted (HTTPS)?

    • If the site doesn't have a privacy policy, run.

    Output Quality

  • PDF output — is ideal — it's universally readable, prints well, and maintains formatting
  • Image output — (PNG/JPG) is okay for quick sharing but doesn't print as cleanly
  • Resolution matters — thermal receipt text is small. Low-resolution exports become unreadable when printed

    • Actually Free vs. "Free"

    Many receipt makers advertise as free but:

  • Add a watermark that you have to pay to remove
  • Let you design but charge for the download
  • Give you 1 free receipt then require a subscription
  • Show you ads that cover half the screen

    • None of these are actually free. They're trials.

    Types of Receipts You Can Make Online

    Sales Receipts

    The most common. Standard retail format with items, quantities, prices, tax, and total. Used by stores, restaurants, and service businesses.

    Thermal Receipts (80mm / 110mm)

    That narrow receipt format you get at grocery stores, gas stations, and fast food places. Good receipt makers offer templates specifically formatted for 80mm or 110mm thermal roll widths.

    Invoices

    Technically different from receipts (invoices are sent before payment, receipts after), but most receipt makers also offer invoice templates. Usually A4 format with more detailed layouts.

    Specialized Receipts

  • Restaurant receipts (with server, table, tip line)
  • Parking receipts (with entry/exit times, license plate)
  • Hotel/hostel receipts (with check-in/out dates, room info)
  • Medical receipts (with patient info, procedure codes)
  • Donation receipts (with donor info, tax-exempt status)

    Step 1: Choose a Template

    Pick a template that matches your use case. A restaurant receipt looks different from a retail receipt which looks different from an invoice. Start with the right format.

    Step 2: Fill In Business Details

    Enter your business name, address, phone, and any registration numbers. This is the header of your receipt and it's what makes it look legitimate.

    Step 3: Add Line Items

    Enter each product or service:

  • Item name or description
  • Quantity
  • Unit price
  • The tool should calculate line totals automatically

    • Step 4: Set Tax and Totals

    Enter your tax rate. A good tool calculates the tax amount and final total automatically. If you're in a location with multiple tax rates (state + city), make sure the tool supports that.

    Step 5: Add Payment Info

    Select the payment method (cash, card, etc.) and add any relevant details like card last 4 digits or transaction reference.

    Step 6: Preview and Download

    Always preview before downloading. Check:

  • Are all items listed correctly?
  • Is the math right? (seriously, check the math)
  • Does the layout look clean?
  • Is the date correct?

    Let's be clear about this: receipt makers are business tools. Legitimate uses include:

  • Small businesses — that need professional-looking receipts but can't afford a POS system
  • Freelancers — creating receipts for services rendered
  • Designers — making realistic mockups for UI/UX projects
  • Educators — teaching accounting, retail management, or business basics
  • Accountants — reconstructing lost receipts from verified bank records
