Hostel Receipt Formats by Country (2026)

I've checked into hostels in 14 countries over the past two years. And here's the thing nobody tells you — receipt formats are wildly different depending on where you are. What passes as a perfectly fine hostel receipt in Thailand would get laughed out of an accounting office in Germany.

If you run a hostel that hosts international guests, or if you're a traveler who needs receipts for expense reports, this matters. A lot.

Let me walk through what hostel receipts actually look like in different parts of the world, what's legally required, and how to make sure yours holds up no matter who's reading it.

Europe: The Tax Documentation Capital of the World

European hostel receipts are the most regulated. The EU takes VAT seriously, and your receipt needs to reflect that.

What's Required Across the EU

  • VAT number — non-negotiable. Every hostel receipt in the EU must show the business VAT registration number
  • VAT amount shown separately — you can't just say "Total: €45." It needs to be "Room: €37.50 + VAT (20%): €7.50 = Total: €45.00"
  • Sequential invoice/receipt number — most EU countries require numbered receipts for tax audit trails
  • Full business name and address
  • Country-Specific Quirks

    Germany: Receipts over €250 need the guest's name and address. Under €250, a simplified receipt works but still needs the VAT breakdown. Germans are serious about this — I've had a hostel in Berlin reprint my receipt because the VAT line was missing.

    France: Tourist tax ("taxe de séjour") must be a separate line item. It's per person per night and varies by city — Paris charges up to €5/person/night for unclassified accommodation.

    Spain: Similar to France — the tourist tax (IBI) is separate. Barcelona's tourist tax is particularly high and guests will ask about it.

    Italy: City tax ("tassa di soggiorno") is often collected in cash at check-in and shown separately on the receipt. Rome charges €3.50-7/person/night depending on accommodation rating.

    Netherlands: Amsterdam's tourist tax is 7% of the room rate. It's one of the highest in Europe and guests regularly question it — having it clearly on the receipt avoids arguments.

    Southeast Asia: Flexible but Getting Stricter

    Thailand

    Receipts are relatively informal for small hostels. No mandatory format, but include:

  • Business name (Thai and English)
  • Tax ID if registered for VAT (mandatory for revenue over 1.8M baht/year)
  • Amount in Thai baht
  • Most backpacker hostels give handwritten receipts. It's fine for casual travel but useless for corporate expense reports. If you want business travelers, invest in a proper template.

    Vietnam

    Getting stricter. The government has been pushing for "red invoices" (hóa đơn đỏ) — official government-issued receipt books. Hostels and hotels are increasingly required to use these for foreign guests.

    Indonesia (Bali)

    Many hostels operate semi-informally. A printed receipt with the business name, dates, amount, and payment method is generally sufficient. For Bali specifically, a 10% government tax is standard and should be shown separately.

    North America: State-by-State Chaos

    United States

    There's no federal receipt format requirement for hostels. But:

  • Sales tax varies by state — some states tax accommodation, others don't
  • Occupancy tax / hotel tax — most cities charge this (New York: 5.875%, San Francisco: 14%, etc.)
  • These taxes must be shown separately — on the receipt
  • A hostel in Austin, Texas needs to show: room rate + 6.25% state hotel tax + 9% city hotel tax. That's 15.25% in taxes. If your receipt just says "Total: $35," your guest can't file an expense report.

    Canada

    GST (5%) applies to accommodation under 30 days. Some provinces add PST or HST on top. Must be shown separately.

    South America: Cash-Heavy, Receipt-Light

    Many hostels in South America still operate on a cash basis. Bolivia, Peru, and Colombia — getting a proper receipt can be challenging at budget hostels.

    What you should still include:

  • Hostel name and RUC/tax number (if registered)
  • Guest name
  • Dates of stay
  • Amount paid and currency (USD vs. local currency matters here — many hostels price in USD but charge in local currency)
  • Payment method
  • Pro tip for travelers: If a hostel won't give you a proper receipt, take a photo of their price board with your booking confirmation visible. It's not ideal, but it's better than nothing for expense purposes.

    Australia and New Zealand

    GST (10% in Australia, 15% in New Zealand) must be shown on receipts. Both countries require an ABN (Australia) or NZBN (New Zealand) on business receipts.

    Australian hostels — especially the big chains like YHA — give excellent, detailed receipts. Smaller independent hostels sometimes don't, so ask at check-in.

    What Makes a Universally Acceptable Hostel Receipt

    Regardless of country, if your hostel receipt includes all of these, it'll work for almost any guest's needs:

  • Hostel legal name + address + phone/email
  • Tax registration number — (VAT, GST, TIN, etc.)
  • Guest full name
  • Check-in and check-out dates
  • Number of nights
  • Room type and rate per night
  • Itemized extras — (breakfast, laundry, tours)
  • All taxes broken out separately — with rates
  • Total amount in local currency
  • Payment method
  • Receipt number
